The heating system had to be repaired and our tenants decided to move into a hotel during repairs. They sent us a letter requesting reimbursement for the hotel and meals which they seemed to have splurged on. Do I have to pay them the full amount as shown on the receipts or is there a limit to the amount that they can get back?

You are only required to give to them a pro-rated rent for that month.

If the heating system was completely out for 3 days...then subtract 3 days from the monthly rent.

How long was the heating system out? You have this problem because you did not handle it properly. Tenants with no heat decided to move into a hotel? Did you provide them with other options like space heaters? Did you think about how your tenants would manage with no heat? Did you discuss it with them at all?

Most states require only an abatement of rent during the period of inhabitability, so as Katiekate said, just credit for the prorated rent for the days the tenants couldn't live in the rental. You are not on the hook for any other costs. Check your state law, as there are a small number of states which are an exception to the rule.

1. Do you HAVE to pay anything to the tenant? Yes, if the property was uninhabitable. For my tenants when the heat went out I provided electric heaters until the repair was done.
2. Should you pay anything to the tenant if the property was habitable but the heating issue made it inconvenient to live there until it was repaired/replaced? That is a business decision. How happy do you want to keep these tenants? How far might they push the issue vs. how much do you want to avoid that (possible court costs & time)? Will they be vindictive and destructive to the property if thwarted?
