I tell each prospect to keep a copy of this. I write all the receipts on it..to ensure they keep it. That way, if they have any doubts about what is going to happen..they already have the document outlining each step along the way. This is the document......
THE PROCEDURE
Application Fee
A $45. Application fee is required at the time the application is made. This money is paid for the purpose of paying for the background, criminal and credit check. Since I am charged $15 per person, per check type...I require the applicants to pay for it. Payment must be in cash. All adults over the age of 18 that will reside in the unit must submit an application.
When you move in, up to $45 of this application fee is refunded to you by reducing your first month rent.
Reservation Fee.
The fee you put down when you decide to rent an apartment is for the purpose of holding that apartment for you. The fee amount is the same as one month rent. We require the fee to be made in cash. Checks are not accepted.
The deposit is a RESERVATION FEE. We will stop showing the unit when this Fee is accepted.
When you move in, this fee will be rolled automatically into the SECURITY Deposit.
If you change your mind and decide not to move in, this RESERVATION FEE is not refundable.
MOVE IN
Prior to moving into the apartment you will have to do the following:
1. Before moving in you must contact Rochester Gas and Electric and have the service transferred into your name effective the date of move in. This usually takes 5 business days for RG&E to complete. You will not be alowed to move in until the service is in your name.
2. Payment of the first and last months rent must be made in cash. No checks are accepted.
3. A walk through the unit. This will document the exact condition of the unit at the time of the move in. This will be done in writing, and you will need to sign the walk through document.
4. A bedbug agreement and bedbug addendum must be signed.
5. A lease must be read, initialed and signed.
When all of this is completed, you will be given keys.

I only advertise in the off-campus network with the local colleges and universities. All initial contact is via email.
I have a "standard" response pre-canned. I change it a little bit to fit the circumstances...but..I ask all the questions in a sort of a 'chatty' way. If I don't like the answers, I just tell them to keep looking.
I then make an arrangement to meet with them and their parents at the house or unit. I must meet everyone in person. This is usually kids who didn't get into the dorms and the kids and parents are in town for the look-see week and they are all trying to get the "little darlings" settled for the coming year. Since the parents will be on the lease..I must meet them
