Of course they are going to threaten you with a lawsuit. It is just the standard mode of operation. Make sure you have all the documentation you need. Make sure you send the deposit settlement letter on time, along with the demand for payment. Then, when you go to court it will because YOU are suing THEM.
So...repair, replace. Keep every receipt. Keep every picture. If they are digital, print them to keep.
I do not know what form you feel you need. I think you can write a letter with the detail of how you spent the deposit (attach copies of receipts). At the bottom of the letter (this could be multiple pages) the last paragraph should be the demand for immediate payment. If they don't pay, take them to small claims.

Same as Katiekate - I also (keep a cd back copy of pictures - if a potential problem person). Hopefully you will have enough in the SD to cover damages. But a simple letter listing what was replaced or repaired, cleaned and costs with total then deduct from SD and send if anything left, or ask for payment. You'll be ready if they do sue - but I doubt that they do. Send statement on time certified mail.
