Be sure to include the Revision date on the document right hand corner.

My criteria, pet policy, and how I handle other move in items, etc...is in a cover letter attached to the application.
At the bottom of the cover letter the prospect signs and dates that they have read and understand the above information. I know many don't read it all, but they signed it, so they would look foolish to later deny knowledge. And even if they do admit they didn't read it…their signature still proves those were the policies when they applied.

When I changed my pet policy, I put the revision date on the document.
