I talked to her on the phone to give her a heads up since I know it's super hard to find a place told her over the phone that march 1 would be great but if she finds something before it will work also. I told her I would like to give her a formal letter and she said no need to we been long term family friends. I am just scared that if we don't do it by the book it will later but me in the butt

Just send it and if she questions you about it. Tell her that your tax advisor needed documentation for tax purposes. Follow the right procedure. Or it might take you longer to get possession of the property
