The lease just mentions what the landlord told us: the 30 day notice requirement, which if not received would result in the lease being converted to a month to month.
However, all our names are on a single lease rather than each of us having individual leases. So it does make sense to me that the landlord isn't accepting any written communication that is not signed by ALL parties on the lease. But perhaps I am wrong because I have never studied law and have not rented many apartments in my lifetime. I am really hoping my landlord is wrong about needing signatures from ALL of us on any written communication in order to be considered valid. Please tell me she is wrong!!

From time to time you will run into this kind of landlord pocket picking. If you ever rent on your own, look out for the "pet rent" and the "pet fee" as well as the "pet deposit." If you press the landlords about why they pocket these kinds of fees when there is no pet damage the will all tell you they do it because they can.
