I believe the only reason to retain applications from people you turned down is to have documentation of your process and reason for turning that applicant down in case there is a housing discrimination complaint filed against you. I can't think of any other reason but perhaps others here can.

In my state, housing discrimination claims have to filed within one year. I haven't found anything that tells me how quickly the state has to contact me about a claim. So I envision not hearing anything for maybe a year and a half or so after rejecting the applicant. Then, I envision needing some documentation that pre-dates that rejection so I may show how I treated other applicants. So I have set an arbitrary time of 3 years to retain those records.
