You've got this wrong. You tell them, with proper notice, when you will be there. If they choose to be there that's fine. If they choose not to be there that's fine too.

As a matter of policy we do not juggle schedules for repairs or inspections around a tenant's schedule. HOWEVER, as a matter of practice we do try to make the accommodation if it's not inconvenient. So, if the electrician has an appointment to do the work on Wednesday at 2:00 PM, we send proper notice and the work is done as scheduled. If it's just us going in for an inspection or work that we are doing ourselves, then we try to be more accomodating.
